What does Audrey do? It matches them line by line and tells you what is left over and why.

Wait a minute... what about the sensitive data on the uploads? Your files are processed to produce your report and then deleted. We keep no copy, and there is no account. Holding your files would be a liability for us, so we don’t keep them. Audrey matches on dates, amounts and descriptions. It never reads account numbers, EINs, SS# or addresses, so black those out before uploading if you prefer. Either way, the files are gone once your report is emailed.

So, why is this free? We want you to consider us for your payment processing needs.

The two files

A general ledger transaction detail report for one cash account, exported as CSV or Excel (.xlsx only). Not a trial balance or a summary — Audrey needs one row per transaction. A PDF will not work here yet — if that is all you have, email it to audrey@brooksidepayments.com and we will take a look.

Whatever your system calls it, you want the one that lists every transaction on a single cash account, one row each. Names change between versions, so the shape matters more than the label.

QuickBooks Transaction Detail by Account, or a QuickReport on the cash account

BS&A GL Account Detail, or the account inquiry export
SpringbrookNames vary, but look for a report with Detail or Transaction in it, run against one cash account.

Not a Trial Balance, not a Balance Sheet, not anything called Summary — those give totals, and totals cannot be matched line by line.

Four things to set when you run it, because each one breaks the reconciliation in a different way:

  1. One bank account, not pooled or combined. The statement covers one account, so the books have to as well.
  2. Every source, not just the counter. Cheque runs and payroll are most of the money going out.
  3. Detail, not totals. A report grouped by day has already done the grouping, and done it wrongly for this purpose.
  4. Run the dates about a week past the period end. Something banked on the 30th that cleared on the 2nd is timing, not a missing entry.

Downloaded from your bank as CSV, Excel (.xlsx only) or OFX. Most banks offer these under "export" or "download transactions". QFX and QBO are OFX under another name and work too. If OFX or QFX is offered, take it — it carries the closing balance and the cheque numbers, so Audrey has to guess at nothing. A PDF will not work here yet — if that is all you have, email it to audrey@brooksidepayments.com and we will take a look.

Leave these blank and Audrey takes the period straight from your statement. Fill them in only if you want a narrower range.
